AI Meeting Notes: Actions, Not Transcripts

An AI note-taker that produces a summary has given you a shorter meeting. Nobody needed a shorter meeting.

Direct answer

Ask for decisions, actions with named owners, and open questions, as three separate lists. Accuracy drops with crosstalk, phone joiners and strong accents. Everyone in the meeting should know it is running.

Check if it is funded for you

Based on the AI and Automation Practitioner standard (ST1512), a Level 4 apprenticeship for people already in work. Funding rules described here are the England position and are set by the funding body.

Potentially free for you

The learner never pays. Employers potentially pay nothing either, and where the apprentice is aged 16 to 24 the government funds the whole cost even if the employer does not pay the levy.

Closing any gap. A levy transfer from another employer covers 100% of the cost. Unused transfer allowance is not carried forward at the end of the tax year, and it must be agreed before the apprentice starts.

From 1 August 2026 the government stopped adding the 10% top-up to new funds entering levy accounts, so there is less in the system than there was.

Ask for the right output

A summary compresses the narrative. It gets read by nobody and it changes nothing about what happens next.

Three lists change that. Decisions made, actions with a named owner and a date, and questions raised but not resolved.

The third list is the most valuable and it never appears in a summary. It tells you what the meeting failed to settle.

If you chair, saying the decision out loud before moving on improves the output more than any prompt change.

Where accuracy actually drops

Crosstalk. Two people speaking at once produces merged or dropped text and the summary inherits the gap without flagging it.

Phone joiners. Audio quality over a bridge is materially worse and the transcript shows it.

Strong regional accents. Accuracy varies noticeably across UK accents, which is a practical limitation rather than a theoretical one.

Proper nouns. Surnames, product names and place names get mangled, and a wrong name in an action item causes real confusion.

The consent question

Everyone in the meeting should know recording and transcription are on. A banner is not the same as telling people.

With external participants, say it out loud at the start. It takes four seconds and prevents an awkward conversation later.

For HR, performance or anything with personal data, ask whether a transcript should exist at all.

Agree a retention position. A permanent searchable archive of every internal conversation is a liability nobody chose.

There is more on this in our guide to AI tools worth learning for office work.

Making the actions actually happen

Post the action list into the chat before people leave. Corrections made in the meeting happen and corrections afterwards do not.

Move actions into wherever your team tracks work. A list living only in a meeting summary is invisible by Thursday.

Check names against the attendee list. Mangled surnames in action items are the commonest error and the easiest to fix.

For recurring meetings, compare this fortnight's open questions with last fortnight's. Repeats show you the real blockage.

Which meetings are worth it

Recurring operational meetings where the same actions get lost every fortnight.

Meetings you could not attend, where a decision list beats a recording by a wide margin.

Long client or supplier calls where commitments matter and detail is easy to misremember.

Not worth it for short catch-ups, one to ones, or anything where the conversation matters more than the outcome.

Accents, and why it matters here

Transcription accuracy varies measurably across UK regional accents, and it is worse than the marketing suggests for several of them.

In a meeting where the transcript becomes a record, uneven accuracy is a fairness problem rather than an inconvenience.

Add a custom vocabulary if your tool supports it. Loading your colleagues' surnames and your own product names removes the commonest error class.

Check the actions against your own memory before circulating. A mangled name in an action item causes more confusion than a missing one.

Tool choice

If you use Teams, the built-in option avoids a second vendor holding your recordings, which simplifies the data question considerably.

Standalone note-takers often produce better structured output, at the cost of another system holding your conversations.

Check where recordings are stored and for how long before you choose. This is the question that matters and it is rarely asked.

Whichever you pick, the setup is the same. Ask for three lists, check names, post before people leave.

Key takeaways

  • Ask for decisions, actions with owners, and open questions as three lists.
  • Open questions are the most valuable output and never appear in a summary.
  • Accuracy drops with crosstalk, phone joiners and strong regional accents.
  • Post actions into the chat before people leave the meeting.
  • Check where recordings are stored and for how long before choosing a tool.

Frequently asked questions

How do I get useful AI meeting notes?

Ask for decisions, actions with named owners, and open questions as three separate lists. A general summary produces a shorter meeting nobody reads.

Are AI meeting notes accurate?

Good on clear single-speaker audio. Accuracy drops noticeably with crosstalk, phone joiners, proper nouns and some regional accents.

Do I have to tell people it is recording?

You should say it out loud, especially with external participants. A banner in the interface is not the same as telling someone.

What is the commonest error?

Mangled proper nouns, particularly surnames, appearing in action items. Always check names against the attendee list.

Which meetings benefit most?

Recurring operational meetings where actions get lost, meetings you missed, and long client calls where commitments matter.

Should every meeting be recorded?

No. For HR, performance or anything with personal data, consider whether a transcript should exist at all, and agree a retention position.

Built-in or standalone note-taker?

Built-in avoids a second vendor holding your recordings. Standalone often structures output better. Check storage location and retention before deciding.

How do I make the actions happen?

Post them into the chat before people leave, then move them into wherever your team actually tracks work.

The funded route, in figures

14 monthsAround six hours a week, online
£0Cost to the learner, always
£0Employer cost for ages 16 to 24. Older apprentices are 95 per cent government funded, and a levy transfer can cover the rest

Figures are the England position. Levy-paying employers usually draw the whole cost from the levy they already contribute, so they pay nothing extra. Employers below the £3 million pay bill threshold pay nothing for an apprentice aged 16 to 24. For an older apprentice the government funds 95 per cent, and a levy transfer from a larger employer can cover the rest. Eligibility and funding rules are set by the funding body and can change.
