Copilot in Teams: Usable Meeting Notes
Share
Most people ask Copilot to summarise the meeting and get a shorter version of the meeting. That is not what anyone needed.
Direct answer
Ask Copilot in Teams for decisions and owners rather than a summary. Recall must be on for the meeting. Accuracy drops with crosstalk and strong regional accents, and everyone in the meeting should know it is running.
Based on the AI and Automation Practitioner standard (ST1512), a Level 4 apprenticeship for people already in work. Funding rules described here are the England position and are set by the funding body.
Potentially free for you
The learner never pays. Employers potentially pay nothing either, and where the apprentice is aged 16 to 24 the government funds the whole cost even if the employer does not pay the levy.
Closing any gap. A levy transfer from another employer covers 100% of the cost. Unused transfer allowance is not carried forward at the end of the tax year, and it must be agreed before the apprentice starts.
From 1 August 2026 the government stopped adding the 10% top-up to new funds entering levy accounts, so there is less in the system than there was.

Ask for the right thing
A summary produces a compressed narrative. Nobody reads it and nothing happens as a result.
Ask instead for decisions made, actions with named owners, and open questions. Three lists, each of which is directly usable.
Ask specifically for anything that was raised and not resolved. That list is usually the most valuable and never appears in a summary.
If you chair meetings, saying the decision out loud before moving on improves the output more than any prompt does.
Where transcription actually fails
Crosstalk. Two people speaking at once produces merged or dropped text, and the summary inherits the gap silently.
Strong regional accents. Accuracy varies noticeably across UK accents, which is a real limitation rather than a theoretical one.
Technical terms and proper nouns. Product names, place names and surnames get mangled, and a wrong name in an action item causes real confusion.
People joining by phone. Audio quality on a phone bridge is materially worse and the transcript shows it.
The consent question
Everyone in the meeting should know that recording and transcription are on. Teams shows a notice, and relying on people noticing it is not the same as telling them.
For external participants, say it out loud at the start. It takes four seconds and prevents an awkward conversation later.
For anything involving personal data, HR matters or performance, consider whether a transcript should exist at all.
Agree a retention position. A permanent archive of every internal conversation is a liability nobody chose to create.
There is more on this in our guide to Microsoft 365 Copilot training for UK teams.
Making it work in practice
Recall or transcription has to be enabled for the meeting. Copilot cannot summarise what was not captured.
Post the actions into the chat immediately, while people are still there to correct them. Corrections after the meeting rarely happen.
Check names against the attendee list. Mangled surnames in action items are the commonest error.
Keep the summary short. A long summary is read by nobody and defeats the point.
What to do with the transcript afterwards
Decide who owns the actions before the meeting ends. An action list with no owner is a record of a conversation, not a plan.
Move the actions into wherever your team actually tracks work. A list living only in a Teams summary is invisible by Thursday.
Delete transcripts you do not need. Keeping every one by default creates a searchable archive nobody decided to create.
For recurring meetings, compare this fortnight's open questions with last fortnight's. Repeats tell you where the real blockage is.
Recording, consent and UK accents
Tell people out loud that transcription is running, particularly with external participants. The banner is not the same as informing someone.
Transcription accuracy varies across UK regional accents. Where the notes become a record, that unevenness matters and needs a human check.
Decide a retention position. Keeping every transcript by default builds a searchable archive of internal conversation that nobody agreed to create.
For HR, performance or anything involving personal data, decide whether a transcript should exist before worrying about how accurate it is.
Meetings where it is genuinely worth it
Recurring operational meetings where the same actions get lost every fortnight.
Meetings you could not attend, where a decision list is far more useful than a recording.
Long client or supplier calls where the commitments matter and the detail is easy to misremember.
It is not worth it for short catch-ups or anything where the conversation matters more than the outcome.
Key takeaways
- Ask for decisions, owners and open questions, not a summary.
- Recall or transcription must be enabled or there is nothing to summarise.
- Accuracy drops with crosstalk, phone joiners and strong regional accents.
- Tell external participants out loud that it is running.
- Post actions into the chat while people can still correct them.
Frequently asked questions
How do I get useful notes from Copilot in Teams?
Ask for decisions made, actions with named owners and open questions, as three separate lists. Asking for a summary produces a shorter meeting nobody reads.
Why has Copilot not summarised my meeting?
Recall or transcription has to be enabled for that meeting. Copilot cannot summarise audio that was never captured.
Are Teams AI meeting notes accurate?
Good on clear single-speaker audio. Accuracy drops noticeably with crosstalk, phone joiners, technical terms and some regional accents.
Do I need to tell people the meeting is being transcribed?
Teams displays a notice, but you should say it out loud, especially with external participants. It takes four seconds and avoids a difficult conversation later.
Should every meeting be transcribed?
No. Consider whether a transcript should exist at all for HR, performance or anything involving personal data, and agree a retention position.
What is the commonest error in AI meeting notes?
Mangled proper nouns, particularly surnames, appearing in action items. Always check names against the attendee list.
Which meetings benefit most?
Recurring operational meetings where actions get lost, meetings you missed, and long client calls where commitments matter.
How do I improve the output as a chair?
Say the decision out loud before moving on. It improves the summary more reliably than any prompt.
The funded route, in figures
Figures are the England position. Levy-paying employers usually draw the whole cost from the levy they already contribute, so they pay nothing extra. Employers below the £3 million pay bill threshold pay nothing for an apprentice aged 16 to 24. For an older apprentice the government funds 95 per cent, and a levy transfer from a larger employer can cover the rest. Eligibility and funding rules are set by the funding body and can change.
Where to go next
If you want meeting and process improvements assessed as part of a qualification, the funded route evidences exactly that work.
